Saloncare instead of paper and spreadsheets

Many good salons still run on index cards, sticky notes and a spreadsheet that grew over the years. That works as long as the right person is there. This page is for anyone who wants more calm without losing the familiar ground under their feet.

STARTING POINT

Paper and spreadsheets are a beginning, not a failing

Anyone running a salon with index cards and tables has got something important right: they started remembering. The colour formula on the back of the client card, the phone note in the calendar, the spreadsheet with the birthdays, all of it is lived memory. It is simply scattered, in different places and inside a single head.

That becomes fragile the moment that head is missing. A colleague is ill, a new stylist starts, a card goes missing, a file is overwritten. Then the salon begins to forget itself. That is where Saloncare comes in, not to devalue the work done so far but to bring it somewhere it no longer depends on one person.

The move is therefore not a break. It is a relocation. What has lived on paper and in tables moves into a shared memory, and nobody loses anything along the way.

WHAT CHANGES

From the pile to a memory

The same information, in one place, reachable by everyone.

Formulas that stay

The colour formula no longer sits on a card that can be lost. It is in the salon memory, searchable, for every stylist.

Knowledge that does not leave

When someone leaves the salon, the knowledge stays. The new colleague reads the history instead of starting from zero.

Appointments without duplication

Saloncare works alongside the calendar or point of sale you already have; you do not keep a second appointment list.

Birthdays automatically

The spreadsheet column with the birthdays becomes a quiet reminder that greets at the right moment, without you having to think of it.

An overview instead of a hunch

Utilisation, return rate and follow-up revenue sit in the cockpit, instead of being laboriously calculated from tables once a year.

Sam listens along

Instead of typing notes after the appointment, Sam listens at the chair and creates the record. Your hands stay free.

THE MOVE

Gently, in four steps

No cut-off date where everything changes at once. The move runs alongside the working day.

  1. Take stock. We look together at what exists: index cards, calendars, spreadsheets, notebooks. Nothing is thrown away, everything becomes a source.
  2. Bring it across. Master data, formulas and birthdays are imported or entered. What exists digitally is read in; what is on paper moves into the memory gradually, starting with your regulars.
  3. Run in parallel. For a transitional period the old paper may sit alongside. Nobody has to switch overnight; confidence grows with familiarity.
  4. Let go. When the team notices there is more in the memory than on the paper, the pile disappears by itself. By then the move has long since happened.

SAFETY

No step without a net

  • Your existing data stays yours; nothing is deleted before you find it again in its new place.
  • The old way may carry on for as long as you need it; the move has no expiry date.
  • The migration begins with your most important guests, so the benefit is felt early.
  • Today Saloncare lays itself over your till and your calendar and complements them; the goal is one system instead of many.
  • If anything is unclear, onboarding stays with you until the team feels confident.

WHO IT IS FOR

If this sounds familiar

Formulas on paper

The most important formulas are on index cards, and you know how awkward it gets when one is missing.

A spreadsheet as an address book

Birthdays, phone numbers and notes live in a table only you really understand.

Knowledge in one head

A lot works only because one particular person is there, and that makes you dependent on them.

Ready for more calm

You do not want more technology, you want less worry that something gets lost.

Questions

Frequently asked questions.

Will our old data be lost in the move?

No. The move is designed as a relocation, not a restart. Master data, formulas and birthdays are brought across, and nothing on paper is thrown away before you find it again in its new place.

Do we have to switch everything at once?

No. The old paper may sit alongside for a transitional period. You start with your regulars and switch gradually, at the pace that suits the salon. The move has no cut-off date.

How do our index cards get into the system?

What exists digitally, such as a spreadsheet, is read in. Index cards are entered gradually, starting with the guests who come most often. The benefit is felt early, without anyone typing for days.

Does Saloncare replace our calendar or our till?

Not today, but we are working on it. Saloncare is the operating system that lays itself over existing systems. If you use a calendar or a till, Saloncare works alongside it rather than forcing a second list.

Do we need technical knowledge?

No. Anyone who can manage a spreadsheet can manage Saloncare. Onboarding stays with you until the team feels confident, and Sam takes over part of the typing at the chair.

What happens if an employee leaves the salon?

The knowledge stays. Unlike index cards or a private spreadsheet, the history sits in the shared memory. Their successor reads the history and does not start from zero.

Is it worth it for a small salon?

Especially there. The smaller the team, the greater the risk that knowledge hangs on one person. The Solo plan starts at €99 per month, the Salon plan at a €99 base fee plus €49 per position.

How long does the move take?

That depends on your records. The most important regulars are often brought across within a few days; the full move of all cards happens alongside the working day, without pressure, over a few weeks.
